The Wazuka no Sato Council (hereafter “the Council”) recognises the importance of the personal information of customers using Wazuka no Sato Station (including the adjoining wazukanoSATO Cafe, hereafter “the Facility”), which it operates. The Council complies with the Act on the Protection of Personal Information and other relevant laws and guidelines, and handles personal information appropriately in accordance with the policy set out below.

1. Collection of Personal Information

The Council collects personal information by lawful and fair means, and only to the extent necessary, through enquiries, reservations, group/private bookings, media coverage requests, surveys and similar channels. The personal information collected may include name, phone number, email address, postal address, and the content of your enquiry. When you send an enquiry through the contact form, we also record the IP address it was sent from, to prevent misuse.

2. Purpose of Use

The Council uses the personal information it collects within the scope of the following purposes.

• To respond to and communicate about enquiries, reservations and applications
• To confirm, change or cancel reservations
• To provide, operate and improve the services of the Facility
• To respond to media coverage and public-relations requests
• To send information and notices relating to the Facility
• To comply with legal requirements and for other duties incidental to the above

3. Provision to Third Parties

The Council will not provide personal information to third parties without obtaining your prior consent, except in the following cases.

• Where required by law
• Where necessary to protect a person's life, body or property, and obtaining consent is difficult
• Where provided to a subcontractor to the extent necessary for a reservation or service (in which case the Council will exercise appropriate oversight of the subcontractor)

4. Management and Security Measures

The Council implements necessary and appropriate security measures to prevent unauthorised access, loss, destruction, tampering and leakage of personal information, and strives to keep personal information accurate and up to date.

5. Disclosure, Correction and Deletion

Customers may request disclosure, correction, addition, deletion or suspension of use of their own personal information held by the Council. Please contact the enquiry desk below to make such a request. After confirming your identity, the Council will respond promptly in accordance with applicable law.

6. Cookies, Access Records and External Services

The Facility's website may use cookies and similar technologies to improve its services and understand how the site is used. If you do not wish cookies to be used, you can disable them in your browser settings. Some pages also embed videos from YouTube (Google LLC). These are embedded in privacy-enhanced mode (youtube-nocookie.com), so no cookies are stored until you play a video; once a video is played, YouTube may use cookies and similar technologies. The top page and the Access page load Google Maps (Google LLC) only when you press “Show map”; when a map is displayed, Google may use cookies and similar technologies. The site also uses Google Fonts (Google LLC) to display text, so when a page is displayed, your device sends information such as its IP address to Google's servers. Our own visitor statistics do not use cookies; they record the date and time, the page, the type of action, the language and the referral source (utm parameters). IP addresses are not included in these statistics. Separately, the server's operational records (access logs) keep entries that include IP addresses for a certain period, for security and troubleshooting.

8. Amendments to this Policy

The Council may revise this policy without prior notice in response to changes in law or its own practices. Any revised policy takes effect from the moment it is posted on the Facility's website.
